Position Overview:
The Leasing Specialist position is responsible for leasing apartments to potential residents while encouraging renewals from current residents across all of our properties totaling about ~200 units.
The Leasing Specialist will provide excellent customer service in accordance with oWOW’s standards. The ideal candidate will be people oriented, adaptable to ever changing circumstances, detail oriented, autonomous/independent, will have a high degree of stress management skills and have a career driven mindset.
Our properties are located in Downtown and West Oakland.
Qualifications:
1 - 2 years of multi-family leasing experience, with a general understanding of property management and managing delinquencies
Lease up & New construction experience preferred.
Good interpersonal skills with the ability to communicate effectively, both verbally and in writing.
A valid driver's license, insurance and vehicle.
Experience with Property Management Systems a plus
Ability to work on weekends.
Responsibilities:
Performs all sales and leasing activities to achieve the community’s revenue and occupancy goals by conducting community and apartment tours, lead follow-ups, processing applications, qualifying prospects and preparing lease and move-in package all the while ensuring compliance with applicable laws, company expectations and procedures.
Collect security deposits, rents and all other funds associated with leasing and document each transaction properly in the property management software system.
Uses the property management software (Yardi) to track apartment availability, record traffic and leasing activities, manage resident and prospect data, and capture critical demographic and other information about existing and future residents.
Follow up with prospects and new residents to ensure satisfaction by sending emails, thank-you notes, telephone calls or other contacting methods to finalize decisions to lease and/or renew.
Inspects apartment homes prior to residents move-in and ensures apartments are in move-in ready conditions. Schedules and addresses any outstanding items with the maintenance team. Take the lead on moving in new residents.
Designs and executes marketing activities to create and drive traffic to the community by using employer outreach programs, internet marketing tools (Zillow, Craigslist, Facebook, e-mail, and all other pertinent websites).
Implements and executes resident retention programs.
Participate in market surveys, outreach marketing activities to support the success of the property.
Promotes positive online reviews to support reputation management goals.
Maintains confidentiality of sensitive documents and information.
Represents the communities and oWOW in a professional manner at all times.
Perform all other duties as directed and assist the overall team effort in any way possible.
Act as the first point of contact at the properties while providing an exceptional customer experience to all.
Reports unusual or extraordinary circumstances regarding the property or residents to the Property Manager.
Sales / Customer Service: Proficiency in excellent sales/customer service skills and interpersonal communication skills in order to effectively interact with residents, clients and other business contacts.
Ability to ensure timely execution of day-to-day responsibilities for the overall completion of tasks set by the Property Manager and Director of Hospitality.
Ability to prioritize and accurately perform multiple tasks concurrently, while still reaching deadlines.
Teamwork: Great interpersonal skills that allow for effective communication between all members of the organization.
Legal: Thorough knowledge of Landlord Tenant and Fair Housing Laws.
Skilled in Microsoft Word, Excel and Outlook or similar software such as GSuite.
Skilled in property management software - Yardi, Buildium preferred.
Ensure proper documentation of all correspondences with residents, prospective residents and business contacts.
Ability to enforce cost cutting measures when applicable.
Good understanding and implementation of Landlord Tenant and Fair Housing Laws.
Ability to understand and clearly communicate legal and lease documentation to all pertinent persons.
Ability to communicate all pertinent information to the Property Manager.
Outdoor Conditions: Ability to work outdoors in temperatures above 90 degrees or below 32 degrees Fahrenheit for short periods of time.
Physical Conditions: Long periods of sitting, walking, and ability to lift or move up to 25 pounds.
Language: Fluency in English verbally, non-verbally, and written.
